Boutique recruiting firm focused on venture capital-backed startups in China is seeking a bi-lingual (English/Chinese) Executive Assistant to support its President. This is a fast-paced, dynamic environment that requires flexibility, resourcefulness and the ability to exercise good judgment. The ideal candidate will be able to handle multiple tasks thanks to his/her thoroughness, effective organization and prioritization skills and attention to detail.
He/she will also be experienced in handling high-level administrative support (such as conducting research and preparing analytical reports) and perfoming clerical functions (such as preparing correspondence, arranging conference calls and scheduling meetings). Additionally, he/she will have good analytical skills and enjoy solving problems. He/she will regularly interact with external senior executives and their staff. Excellent written and verbal communication skills, maturity and ability to work independently are a must.
Finally, the ideal candidate will be a trustworthy professional with the highest standards of discretion and integrity.
Responsibilities:
- Liaise with client senior management and executive level candidates
- Manage meeting schedule and project calendars
- Prepare pre-meeting materials for review
- Review and summarize reports and documents; prepare background documents and correspondence
- Arrange travel schedules and reservations as needed
- Work closely with the President to set agendas for client and candidate meetings
- Organize and maintain electronic and hard copy client and candidate information
Qualifications:
- 2-3 years support experience at the executive level
- Impressive internet research capabilities
- Excellent calendar management skills, including the coordination of complex executive meetings (multiple parties and time-zones)
- Strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook
- Experience scheduling travel arrangements for management
Strongly prefer:
- Support experience in a professional services, sales or marketing environment
- Experience successfully creating and/or modifying processes
- Bachelor's degree
- Fluent Mandarin skills
